Methodology: How These Calculators Work
This page explains the formulas, data handling, and limitations behind each calculator on Truck Cost Tools. All calculations are estimates — results should be used for planning and reference, not as definitive financial figures.
Data Privacy
All calculations happen entirely in your browser using JavaScript. No data you enter into any calculator is sent to a server, stored in a database, or transmitted to any third party. When you close or navigate away from a page, your inputs are gone. We do not collect or retain any personal or financial information entered into these tools.
All Results Are Estimates
Every calculator on this site produces estimates based solely on the numbers you enter. Actual costs and results depend on many factors that these tools cannot account for: your specific truck, operating conditions, state regulations, lender terms, insurer underwriting criteria, and more. Use these tools for planning and scenario comparisons — not for binding financial decisions.

Cost Per Mile Calculator
Total Costs = Fixed Costs + Variable Costs
Operating Cost Per Mile = Total Costs ÷ Monthly Miles
Target Rate Per Mile = (Total Costs + Target Profit) ÷ Monthly Miles
Fuel Cost Calculator
Gallons Needed = Trip Miles ÷ Truck MPG
Fuel Cost = Gallons Needed × Diesel Price
Cost Per Mile = Fuel Cost ÷ Trip Miles
Total Cost = Truck Fuel Cost + (Reefer Gallons × Diesel Price)
Load Profit Calculator
Total Miles = Loaded Miles + Deadhead Miles
Revenue Per Loaded Mile = Total Pay ÷ Loaded Miles
Revenue Per Total Mile = Total Pay ÷ Total Miles
Fuel Gallons = Total Miles ÷ MPG
Fuel Cost = Fuel Gallons × Diesel Price
Estimated Profit = Total Pay − Fuel Cost − Other Expenses
Profit Per Mile = Estimated Profit ÷ Total Miles

Deadhead Cost Calculator
Fuel Used = Deadhead Miles ÷ MPG
Fuel Cost = Fuel Used × Diesel Price
Total Deadhead Cost = Fuel Cost + Driver/Time Cost
Owner-Operator Monthly Profit Calculator
Total Expenses = Sum of all expense categories
Net Profit = Gross Revenue − Total Expenses
Net Margin = Net Profit ÷ Gross Revenue × 100
Limitation: Pre-tax estimate only. Does not include self-employment tax or income tax.
Factoring Fee Calculator
Factoring Fee = Invoice Amount × (Factoring Rate ÷ 100)
Advance Amount = Invoice Amount × (Advance Rate ÷ 100)
Reserve = Invoice Amount − Advance Amount
Net Before Reserve = Advance Amount − Factoring Fee
Monthly Fees = Factoring Fee × Invoices Per Month
Truck Loan Payment Calculator
Amount Financed = Truck Price + Fees − Down Payment
Monthly Rate = APR ÷ 100 ÷ 12
Monthly Payment = Principal × Monthly Rate ÷ (1 − (1 + Monthly Rate)^(−Term))
If APR = 0: Monthly Payment = Amount Financed ÷ Term
Total Payment = Monthly Payment × Term
Total Interest = Total Payment − Amount Financed
Uses standard amortization formula. Actual lender terms may include additional fees, balloon payments, or variable rates.
Truck Insurance Cost Estimator
Monthly Estimate = (Number of Trucks × Monthly Premium Per Truck) + Cargo + Physical Damage + Other
Annual Estimate = Monthly Estimate × 12
Cost Per Truck = Monthly Estimate ÷ Number of Trucks
Simple addition of user-entered premium estimates. Not an insurance quote.
IFTA Fuel Tax Estimator
Average MPG = Total Miles ÷ Total Gallons
Taxable Gallons = Total Gallons − Tax-Paid Gallons
Net Tax Position = (Total Gallons × Tax Rate) − (Tax-Paid Gallons × Tax Rate)
Uses a single blended tax rate. Official IFTA requires per-jurisdiction mileage and state-specific rates. Do not use for official filings.
Reefer Fuel Cost Calculator
Estimated Gallons = Reefer Hours × Gallons Per Hour
Estimated Cost = Estimated Gallons × Diesel Price
Cost Per Day = Gallons Per Hour × 24 × Diesel Price
Default Values
Each calculator opens with pre-filled example values to help you see results immediately. These defaults are based on broadly typical parameters for U.S. owner-operators — they are not recommendations or averages. Replace them with your own numbers for accurate results.
- Diesel price defaults: ~$3.85/gallon (adjust to your current local price)
- Truck MPG defaults: 6.5 MPG (a common mid-range estimate for loaded Class 8 trucks)
- Loan APR defaults: 7.5% (adjust based on your credit and lender)
- Factoring rate defaults: 3% advance, 90% advance rate (typical mid-market rates)
